How do you get started with services at Kids at Play Therapy?
An Occupational Therapy or Physical Therapy referral from your PCP is required to initiate therapy services
Our scheduling team will reach out once we have availability to schedule an evaluation. Durning our initial call Kids at Play will get all your information and send an invitation to complete the online registration process and intake forms. All forms MUST be completed prior to 1st appointment.
What can I expect at the first appointment?
During your first therapy appointment, your therapist will conduct an initial assessment. This assessment generally includes discussion about your child’s current challenges, and what prompted a referral to OT / PT services.
What happens during a pediatric Occupational Therapy or Physical Therapy evaluation at Kids at Play Therapy?
Your evaluating therapist will obtain information regarding your child’s medical history and developmental milestones (rolling, sitting, walking etc.). The first appointment with a therapist typically involves an assessment and review of the health history and any presenting conditions You will be asked questions about your child responses to sensory information, activities they participate in and prefer or avoid, behavior at school and in the community and participation in feeding.
How long are therapy sessions?
Kids at Play Therapy sessions incorporate play and movement to keep the child engaged in the therapy process. Visits usually last 55 minutes.
What should my child wear for an occupational therapy or physical therapy appointment?
For all visits to therapy sessions please wear comfortable and loose clothing. Please ensure your child wears clean socks as shoes are not allowed on the mat areas.
What happens after an evaluation?
The evaluating therapist will complete an evaluation based on the referral information, intake information, standardized testing and clinical evaluation. Areas of concern will be discussed, and the parent and therapist will identify appropriate goals to address in therapy. The goal is to help children where they are and help them achieve their full potential. For more details see our services page.
How often will my child be seen for therapy?
The frequency of sessions usually ranges from 1 to 2 times per week, with each session lasting 55 minutes. The duration of therapy is influenced by many factors, and this can be discussed regularly with the treating therapist based on the progression of therapy. The therapy process is unique for each child and family and takes into consideration a number of factors. Goals are closely monitored through detailed treatment notes which help track your child’s development over time and guide any adjustments needed in their therapy plan.
How is progress measured?
Progress is measured through regular documentation to track your child’s performance during sessions and their advancement towards their specific therapy goals. Therapists use these notes to evaluate skills over time, adjust treatment plans as needed, and ensure that the interventions remain effective and goal oriented.
Can parents observe or participate in therapy sessions?
Yes, parents are welcome and encouraged to observe or participate in therapy sessions when appropriate. Parent involvement can help reinforce strategies at home and support continuity of care. Whether observation or participation is recommended will depend on the child’s needs and the goals of the session.
What should I ask my insurance?
Before your first visit at Kids at Play Therapy please follow up with your current insurance plan. When contacting your insurance company about pediatric therapy.
Here are some questions to ask about your insurance plan:
- Does your plan cover pediatric therapy services, occupational, and physical therapy?
- What is your deductible for the calendar year?
- What is your copay or coinsurance amount per therapy session?
- Does your plan require prior authorization for therapy visits? Does your plan require ongoing authorizations?
- Is there a maximum number of therapy sessions allowed per year?
- Does your plan have a hard max or soft max on therapy visits?
- Does your plan allow treatment by more than one therapy discpline on the same day?
- If your child has a specific diagnosis (like autism), does your plan have any special considerations for therapy coverage?
- Are there any ICD-10 codes associated with your child’s diagnosis that insurance will not pay for?
What if I have more than one insurance?
One plan is designated as primary insurance and the other as secondary. A claim goes first to the primary insurance plan, which pays medical bills the way it normally would. After the primary insurer pays the claim it will be submitted to the secondary plan- please reach out to both insurances and ask for coordination of benefits (COB).
What is the cancellation policy for appointments?
Provide at least 24 hours’ notice for planned absences
Contact the clinic or your therapist before 8:00 AM on the day of your appointment for same-day illness or emergencies If the clinic is not informed before 8:00 AM (unless your child is sent home from school due to fever, vomiting, or diarrhea), the appointment is considered a NO-SHOW.
What is considered a NO-SHOW?
A NO-SHOW is when a patient does not show up for their scheduled appointment without proper notice. An administrative fee may apply.
More than one NO-SHOW may result in your child losing a weekly or regularly scheduled therapy appointment time.
When should your child stay home from therapy?
Your child must stay home if they have shown any of the following symptoms in the last 24 hours, even if symptoms are mild and no medication is being taken:
- Fever of 100°F (37.7°C) or higher
- New or worsening cough or sore throat
- Shortness of breath or difficulty breathing
- Congestion or runny nose with yellow or green discharge
- Loss of taste or smell
- Vomiting or diarrhea
- A new rash (especially after contact with another rash)
- Eye discharge, pink eye, or crusted eyelids
- Evidence of lice
- Any itchy, spreading, or draining sore (e.g., chickenpox)
- A positive COVID-19 test result
This policy applies to family and household members that may accompany your child to therapy.
If you are unsure whether your child is well enough for therapy, contact the clinic. Staff will help determine whether your child should attend the session.
If you arrive at the clinic with a sick child, the clinic reserves the right to cancel the session and reschedule at a later date.
